moving over

Switching to ShiftNivo without losing a week

From 7shifts, Homebase, When I Work, Sling, or a spreadsheet and a group chat. Most of what has to move is already written down somewhere: who works for you, what they do and what they are paid. Here is what carries over, the order that works, and what ShiftNivo does not do yet, so nothing surprises you in week two.

No credit card. Free during early access.

Where you are coming from

  • 7shifts

Your team list and roles carry over through a spreadsheet. If you also clock in, pool tips or send hours to payroll there, keep those running for now: ShiftNivo does none of them yet.

  • Homebase

Your team list carries over through a spreadsheet. If your team clocks in with it, keep the time clock: ShiftNivo plans and prices the week, and does not record the hours worked.

  • When I Work

Your team list carries over through a spreadsheet. Availability starts fresh, and each person sets their own: a usual week by the hour, and changes for a few weeks when they need them.

  • Sling

Your team list carries over through a spreadsheet. If you post notes to the whole team there, announcements do that job here: a note from a manager everyone can read, with no chat thread to moderate.

  • A spreadsheet and a group chat

Your list is already in a sheet. What changes: the week is copied instead of retyped, the rules are checked as you build, and each person sees their own shifts on their phone. If the group chat stays, the week can still go there as an image sized for a phone.

What comes with you

  • Your team

Import your team from a spreadsheet: first name, last name, email, mobile and role, one row each. Most scheduling apps can export their employee list that way; if yours cannot, typing it into a sheet works just as well.

  • Roles and pay

Rename the starter roles to match your floor, add the ones you are missing, and give each a color and a default hourly rate. Anyone paid differently gets a rate of their own, which only the managers allowed to see pay can see.

  • Your state's rules

Nothing to copy. Picking your state or province loads its overtime, breaks, minimum wage, minors' hours and holidays; edit a figure only if an agreement moves it.

  • Your usual week

Build the first week once, by hand or from your last printout. After that, copy last week or apply a template you saved: nobody retypes a week twice.

  • Availability and time off

These start fresh, from the people themselves: each person sets the hours they can work and asks for time off in the app. Time off you have already approved can be added for them, so the first week warns you about it.

  • Certificates

Food handler and alcohol server cards are uploaded from the iPhone app and checked by you, and the board warns before a shift goes to someone whose card has lapsed.

In this order

  1. 1

    Open a workspace

Your business name and your state or province. Its rules, time zone and currency come with it. Free during early access, no credit card.

  2. 2

    Set roles and rates

In Settings: rename the starter roles, add yours, set a default hourly rate for each, and pick the day your week starts.

  3. 3

    Bring in your team

Import the spreadsheet, or add people a few at a time. Give an email to anyone who should sign in; people without one can still be scheduled. Or share your branch's join link in the staff group chat: people ask to join, and you approve each one.

  4. 4

    Build next week

Drag shifts onto the grid, or start from the week on paper. Warnings appear as you go: overtime, rest, breaks, minors, time off. The Problems list gathers every one of them before you publish.

  5. 5

    Publish, then invite

Publishing tells the people on the schedule, with a notification on their phone or an email, and the review before it names anyone who cannot be reached. Then invite them in: they sign in with that email on the web, or join the iPhone app's beta.

  6. 6

Run both for one more week

Keep your old tool for the week the first ShiftNivo schedule goes out, so nobody misses a shift in the changeover. Then switch it off.

What does not carry over yet

Past schedules and worked hours stay in your old tool: there is no import for them. There is no time clock, no POS connection, no payroll export and no tip management yet. Staff on Android use the web app until there is an Android app. If one of those is the reason you cannot switch, tell us; it helps decide what comes next.
